Client Onboarding Specialist
Reports to: Director of Operations
Location: Remote
Position Type: Part-Time
Pay: $18/hour
Position Overview
The Client Onboarding Specialist supports Fiesta Health’s team by managing all front-end client onboarding processes. This role ensures families are fully prepared to begin services by verifying benefits, submitting initial authorizations, coordinating communication, and supporting the administrative onboarding workflow. You will serve as a key point of contact for parents and internal teams during pre-service onboarding.
Key Responsibilities
Client Onboarding & Intake
- Manage the full client onboarding workflow from referral to Day 1 of services.
- Coordinate parent communications, onboarding packets, handbooks, consent forms, and follow-up reminders.
- Track client movement through the intake pipeline and ensure timely handoffs to clinical and operations teams.
Insurance: VOB & Eligibility
- Complete Verification of Benefits (VOB) for new clients prior to scheduling services.
- Conduct pre-service Eligibility Checks and communicate findings to leadership.
- Document all benefit details, coverage limitations, and insurance requirements in the database.
Pre-Service Authorization Management
- Submit and track:
- Diagnostic Evaluation Authorizations
- ABA Assessment Authorizations
- ABA Treatment Authorizations
- Communicate authorization statuses to families and internal teams.
- Maintain timely follow-up to ensure no delays in service initiation.
Coordination & Communication
- Provide proactive updates to families throughout the intake process.
- Maintain accurate notes, documentation, and communication logs.
- Coordinate with Scheduling, Operations, and the Clinical team to ensure readiness for assessment and service start.
Operational Support
- Maintain SOPs related to onboarding and pre-service insurance workflows.
- Prepare daily, weekly, and monthly onboarding progress reports for the Director of Operations.
- Support cross-department Growth initiatives as assigned.
